The American Symphony Orchestra League's 60th National Conference will bring together the decision makers at America’s orchestras. This unique experience is your best opportunity to rub elbows with orchestra professionals from all over the country.

We will again provide the traditional Delegate Lounge/Exhibit Area that participants have enjoyed in the past. The benefits to your organization include:

  • Gatherings in the Delegate Lounge/Exhibit Area, including the traditional Exhibitor/Manager Reception

Delegate Lounge/Exhibit Area
Located on the Washington Hilton Concourse Level, the Delegate Lounge/Exhibit Area is within steps of many meeting rooms, making it more convenient to get acquainted with orchestra decision makers. The Exhibit Area is open Wednesday morning, June 15th through Friday afternoon, June 17th at varying times (see below for a schedule of when the hall is open). The Exhibit Area is the ideal setting to display your offerings and to meet with delegates throughout the Conference. In keeping with the Lounge atmosphere, tables and chairs will be arranged throughout the room for delegates and exhibitors to meet and conduct business. League services and Conference registration will also be located within the Exhibit Area.

 

Delegate Lounge/ Exhibit Hours

Tuesday, June 14, 2005: 2:00 pm- 6:00 pm (exhibit set-up)

Wednesday, June 15, 2005: 7:00 am- 1:00 pm

Thursday, June 16, 2005: 9:30 am- 5:00 pm

Friday, June 17, 2005: 8:00 am- 12:00 pm & 1:45 pm- 4:30 pm

The Day by Day schedule lists times you may want to be present in the hall, including the allotted free time for constituencies to meet with business members. During periods when the Delegate Lounge is closed, feel free to attend general sessions or pre-arranged meetings with delegates. We encourage you to contact delegates prior to the Conference to arrange those meetings.

 

Registration Information
Registration for an individual representative of a Business Member organization is $635. Group discounts are available for two or more representatives.

 

Display Space Options

Tabletop Display is a 3' X 2' table space that includes an identification sign. This space can be used for displaying brochures, rosters, business cards, etc. Tabletop Displays are not separated by walk space and do not provide space for a chair. 
(included at no extra charge in first representative's registration fee)

Standard Booth measures 6' X 6' and includes one 6' X 2' draped table, one chair, an identification sign, one waste basket, and pipe and draping (8' high back drapery with 3' high side drapery) provided by a decorating company. Electricity for audio, video, and computer equipment may be purchased separately through the decorating company. This space is ideal for holding one-on-one meetings.
Upgrade Supplement of $365

Deluxe Booth measures 14' X 8' and includes two 6' X 2' draped tables, two chairs, an identification sign, one waste basket, and pipe and draping (8' high back drapery with 3' high side drapery) provided by a decorating company. Electricity for audio, video and computer equipment may be purchased separately through the decorating company. This space is ideal for conducting small business meetings.

Space Constraints

Due to the height of the ceilings in the Delegate Lounge, all exhibits must be no taller than 7'8".  Exhibitors may also choose to bring or rent lighting for their booth to brighten the space. 

Space Assignments and Location
As in past years, space assignments will be made based on the number of years as an exhibitor at the League's Conference as well as the date registration and payment is received – so please register early to receive priority in booth assignment. You will receive a confirmation letter when your registration form has been processed. We will try to process your booth assignment by early May, pending final hall arrangements with the Exhibition Company. Prompt location assignment also depends upon exhibitors submitting registration forms by the early registration deadline and being in good member standing (i.e. all membership dues and SYMPHONY advertising invoices current).

Discounted Accommodations
The 2005 Conference takes place primarily in the Washington Hilton located at 1919 Connecticut Avenue NW, Washington, D.C. 20009. We have reserved a block of rooms at a special rate of $175 single/double occupancy, plus state and local taxes. To reserve your room, book online or contact the hotel directly at 202-483-3000 and mention that you are a part of the "American Symphony Orchestra League Conference." This special rate is only available until May 21, 2005.

Delegate Addresses
Enhance your Conference experience by contacting delegates before they arrive. To facilitate advance contact with delegates, we will offer a complimentary file of Conference delegate addresses as of May 20 to those exhibitors who register by the early registration deadline of April 30. Please indicate your interest in acquiring addresses on the exhibitor registration form.

Exhibitor’s Company Logo and Link on the Conference Web Site

For the first time, the League will list all registered exhibitors on the Conference site along with your companies’ logo and a link to your web site. In addition to your registration, please send a jpeg of your logo and your web address to webmaster@symphony.org. We reserve the right to resize your logo as necessary. This listing will be updated on a weekly basis. The earlier you register, the sooner your logo will appear on the Conference web site.

Guidebook to Exhibitors
For exhibitors who register by the early registration deadline of April 30, we will again offer a five-line paragraph (maximum of 30 words) in the program book alongside the standard listing of address, representatives, and booth number. This paragraph can contain an annotated description of your company, or artists and works featured at your display. Due to production concerns, we cannot guarantee that listings received after April 30 will be included. The League reserves the right to edit your paragraph for length and accuracy.

In addition to exhibiting at our annual Conference, other benefits of business membership in the American Symphony Orchestra League include:

Since exhibiting is a benefit of business membership, if you are not currently a member or your membership expires prior to Conference, please enclose your first year's dues of $385 with your registration and booth payment (add $15 for foreign postage if located outside the U.S.).

SYMPHONY Conference Advertising
Don't forget to reserve your ad space for SYMPHONY's July/August Conference Issue. Business Members of the League automatically receive a 5% advertising discount. In addition to its regular distribution, the July/August issue will receive a bonus distribution to all individuals attending the National Conference.
